1. Pre-Registration and On-Site Registration

Those who intend to participate in the "2013 International Symposium on Electromagnetic Theory" (EMTS 2013), including the presenters (presenting authors), session chairs, conveners, committee members, etc., are required to register for the symposium.

Please note that all presenters (presenting authors) must pre-register for the symposium by paying the non-refundable registration fees by March 15, 2013 (see table in "3" below). Only papers with the pre-registration by the presenters are scheduled for presentation and included in the Final Program and Proceedings.

Pre-Registration is available on the EMTS 2013 website from January 15 to April 30, 2013: the entrance of the Pre-Registration Form is at the bottom of this page.

Please note that "NO" registration will be accepted during the period of May 1-19, 2013. Registration will restart on-site during the symposium period.

On-Site Registration Desk will be open during the following hours:
- Monday, May 20: 16:00-19:00
- Tuesday, May 21: 8:30-17:00
- Wednesday, May 22: 8:30-17:00
- Thursday, May 23: 8:30-17:00
- Friday, May 24: 8:30-16:30

2. Pre-Registration and Additional Payments

Those who wish to pre-register for EMTS 2013 must register using the on-line "Pre-Registration Form", which is available from the bottom of this page. Additional payments for the plural number of paper presentations and Banquet Tickets should also be made in this form.

1) You should pre-register for EMTS 2013 as one of the four Categories below;
- Regular
- Students
- Retired
- YSA Awardees

2) If you are to make an additional payment for "Extra Ticket(s) for Banquet" (see "11" below) or "Additional Cost for Multiple Paper Presentations" (see "6" below) which you forgot at the time you first registered through the Pre-Registration Form, you should again go into the Pre-Registration Form, create a new Registration Key (see "9" below), and select the option "Additional Payment(s)". Additional payments can be made as many times as you like, until March 15 for "Additional Cost for Multiple Paper Presentations", and until April 30 for "Extra Ticket(s) for Banquet".

3. Registration Fees

The registration fees differ depending on the application date and the Registration Category.

*All registration fees must be paid in Japanese yen (JPY).
*All presenting authors must pre-register from January 15 to March 15, 2013.

"Students" will be required to show their student ID at their arrival at the Registration Desk at the symposium site. In case you are a student now and if you are graduating from school before the date of EMTS 2013 (May 20 to 24), please bring a copy of your student ID to the Registration Desk. The student ID must be written either in English or Japanese.

The definition of "Retired" is as follows: a person who is attaining the age of 60 years as of May 1, 2013, and not gainfully employed. “Retired” registrants will be required to show a legal ID on their birthday at their arrival at the Registration Desk at the symposium site. The ID must be written either in English or Japanese.

4. Pre-Registration for YSA Awardees

The winners of the "Young Scientist Award" (YSA), too, must pre-register for EMTS 2013 by using the Pre-Registration Form, which is available from the bottom of this page. This must be done by March 15, 2013.

Each one of the YSA awardees will receive:
- a free registration for EMTS 2013 and the "URSI Commission B School for Young Scientists";
- a free banquet ticket;
- a free accommodation covering the full symposium duration.

If you have received the “Notification” as one of the YSA awardees from the EMTS 2013 Program Committee, you will receive another email from the EMTS 2013 Japan Secretariat with a "valid Registration ID" of yours in about a week. After you receive the email, please proceed to your Pre-Registration through the on-line Pre-Registration Form and select "YSA Awardees" from the Registration Categories with your "valid Registration ID".

The "Grand Total" of the registration fees will be "0" JPY and please select "Bank Transfer" for the payment method, and you do not have to make any actual payment. Please note that the additional cost for extra paper presentation(s) other than your own YSA paper and/or extra Banquet Ticket(s), if any, the payment must be done in the Form, either by "Credit Card" or "Bank Transfer".

5. Registrant's Kit

Each one of those who pre-registered for EMTS 2013 as "Regular", "Students", "Retired", or "YSA Awardees" will receive a set of the Registrant's Kit, including a printed name tag, a printed copy of the Final Program, a copy of the Symposium Proceedings (CD-ROM), a Symposium Bag, etc.

The Registrant's Kit will be provided for those who register at the symposium site as well, but please note that the number of the Registrant's Kits is limited for on-site registrants.

6. Additional Cost for Multiple Paper Presentations

The Registration Fee ("Regular", "Students", "Retired", and "YSA Awardees") covers "1 paper presentation" for each presenter (presenting author) without any extra cost.

If a presenter wishes to present "2 or more" papers, he/she must pay additional cost of 10,000 Japanese yen per paper for the second and after. The payment of additional cost should be made at the same time you pre-register using the "Pre-Registration Form". In case you have to pay this after your first Pre-Registration (see "2" above), the payment can be made by creating another "Registration Key" (see "9" below) and selecting "Additional Payment(s)" by March 15, 2013.

7. URSI Commission B School for Young Scientists

The "URSI Commission B School for Young Scientists" will be held at the symposium site on Monday, May 20, 2013. (For details, click here.)

This one-day event is organized in the same venue as EMTS 2013 but is not covered by the EMTS 2013 Registration Fee ("Regular", "Students", and "Retired"). Those who wish to attend the School must pay the School Registration Fee using the Pre-Registration Form.

For those who will not attend EMTS 2013 but are interested in participating in the School, limited number of tickets are available on site; please come to the symposium site and pay the School Registration Fee at the School Registration Desk located on the different floor from the EMTS 2013 Registration Desk.

The School Registration Fee per person is as follows:
- EMTS 2013 participants: 10,000 JPY
- Non EMTS 2013 participants: 14,000 JPY
- YSA Awardees: Free of charge

8. Pre-Registration Procedure

There are five main steps for the EMTS 2013 Pre-Registration procedure:
1) Creating a Registration Key (on-line) (see "9" below)
2) Selecting Registration Category (on-line) (see "2," "3," and "4" above)
3) Entering Registrant's Information (on-line)
4) Completing Payment (on-line) (see "13" below)
5) Receiving Entrance Ticket (by post) (see "14" below)

9. Registration Key

A "Registration Key" will be created for you and sent to you by email, which will be used to start your Pre-Registration for EMTS 2013.

Every time you make a payment for items and services provided by EMTS 2013 such as "pre-registration", "extra paper presentations", or "extra banquet tickets", you should create a new Registration Key.

Identical email address could be used for creating two or more Registration Keys.

Please note that, if the e-mail address has some kind of settings such as spam filter or e-mail block security system, messages from the EMTS 2013 Pre-Registration System might not reach you. Please be sure to use an e-mail address that has no such settings.

10. Accompanying Persons

Accompanying Persons should be the registrant's family or relative, such as his/her spouse (husband or wife), sibling (brother or sister), child, etc., who will not intend to attend the symposium sessions (including the "School for Young Scientists" on May 20, 2013), but will participate in the symposium official events such as the "Welcome Reception" (free of charge) or "Banquet" (5,000 or 6,000 Japanese yen per person; see "11" below) or excursion tours and trips provided by the travel agent.

Please note that an accompanying person will not be provided with a copy of the Symposium Proceedings. Those who are interested in participating in the symposium sessions should register individually.

Each registrant can register up to 5 accompanying persons in the Pre-Registration Form. In case there are more than 5, please enter their names and other information in the "Memo" box at the bottom of the form.

11. Banquet Fees

The EMTS 2013 Banquet will be held at "ANA Crowne Plaza Hiroshima" from 19:00 on Wednesday, May 22, 2013.

Each one of the participants for this event is required to buy a Banquet Ticket, except children under the age of 12. For those who wish to attend the Banquet, pre-registration is recommended because the number of banquet tickets available on-site is limited.

The price of the ticket per person is as follows:
- Pre-Registration (January 15-April 30, 2013): 5,000 JPY (per person)
- On-site Registration (May 20-22, 2013): 6,000 JPY (per person)
- Children under the age of 12: Free of charge

12. Accommodations and Tours

Payments for hotel accommodations and excursion tours and trips should be made from here.

13. Method of Payment

For Pre-Registration, the payment should be done using the on-line Credit Card Settlement System, which will be available right after you complete the Pre-Registration Form.

If you have difficulty in paying by credit card, you can select another way, "Bank Transfer", by clicking the button in the Pre-Registration Form. Payment by bank transfer must be completed within 10 days from the registration date. If we find the payment not completed by then, the registration will become invalid.

For On-Site Registration, the payment should be done in cash (JPY only), or by credit card.

*Acceptable Card Types:
- Pre-Registration: VISA, MASTER, Amex, Diners, JCB
- On-site Registration: VISA, MASTER, Amex, Diners (JCB is not acceptable)

14. Entrance Tickets

After you have completed your pre-registration (for "Regular", "Students", "Retired", and "YSA Awardees") with all the payments done, the EMTS 2013 Japan Secretariat will send you the "Entrance Ticket" by post to be delivered to you by May 17, 2013.

15. Cancellation

In the event of cancellation of Pre-registration, no refund will be made after the completion of payment. Instead, a copy of the Symposium Proceedings (CD-ROM) will be sent to the registrant after the symposium.

17. Privacy Policy

What you enter in the Pre-Registration Form will be used only for the purpose of correspondence for the EMTS 2013 registration.
